254Forest is looking for an Office Assistant to assist and support its team in day-to-day tasks.
As Office Assistant you will provide administrative support and assist in the smooth operations of the office. You will work closely with the Managing director and other team members to ensure efficient daily operations and a productive work environment. This role requires strong organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously.
Key Responsibilities
- Administrative Support: Provide general administrative support, including managing calendars, scheduling appointments, coordinating meetings, and handling correspondence. Assist with document preparation, filing, and maintaining records.
- Financial Support: Assist in managing office budgets and expenses, including tracking invoices, scanning, following and maintaining financial records.
- Data Management: Maintain accurate and up-to-date databases, records, and files. Assist in data entry and data organization tasks. Ensure data integrity and confidentiality.
- Office Operations: Help oversee day-to-day office operations, including managing office supplies, equipment, and inventory. Assist in coordinating office maintenance and repairs, ensuring a clean and organized workspace.
- Communication: Act as a point of contact for internal and external communications, handling inquiries, redirecting calls, and relaying messages to the appropriate personne. Draft and proofread emails, memos, and other documents.
- Travel: Assist with travel arrangements, including booking flights, hotels, and transportation for staff members.
- Team Support: Provide support to team members as needed, including assisting with project coordination, preparing presentations, and conducting research. Collaborate with cross-functional teams to ensure smooth workflow and effective communication.
- Office Culture : Contribute to fostering a positive office culture by organizing activities, celebrations, and social events. Assist in onboarding new coworker.
Qualifications
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint), Adobe suite and other office softwares
- Excellent verbal and written communication skills in French and English
- Strong organizational and multitasking abilities
- Attention to detail and high level of accuracy
- Problem-solving and decision-making skills
- Ability to maintain confidentiality and handle sensitive information
- Professional and friendly behaviour
- Flexibility to adapt to changing priorities and deadlines
- Experience in administrative or office management functions (internships or entry-level positions) is a plus.
- Dog lover
- Driving license is a plus
